How it Works

The Virtual Office That Takes Action On Your Mail

Let us receive your documents and tell you what you need to do or even better, we can take action on your behalf.

Standard Government Mail (Standard Plan)

Tax, social insurance, and labor correspondence reviewed, explained in plain English, and actioned at market rates.

No Junk Mail (Standard Plan)

We filter out unsolicited and irrelevant mail so you only hear about what matters. Don't waste your time sifting through junk.

Setup & Compliance Mail (Standard Plan)

Company registration changes, annual filings, and ongoing back-office documents reviewed. We guide you or take action for you.

Phone Reception (Pro Plan)

Bilingual staff answer your company's Japanese phone line 9 AM–5 PM, relay summaries, and act on calls where possible.

Non-Government Mail

Supplier invoices, vendor notices, and standard business mail reviewed and actioned where possible. Fees agreed case by case.

Corporate Bank Account (Special Plan)

Special plan for those who need a corporate bank account with our Japan nominee director service for foreign companies.

FAQ

Still have questions? Book a free consultation and we'll walk you through everything.

Where is your virtual office location?

We have one central Tokyo location, conveniently situated for use with government registrations, tax filings, and business correspondence.

Can I use this address to incorporate my company?

Yes. Our virtual office address can be used as your registered company address for incorporation with the Legal Affairs Bureau. If you are incorporating with SmartStart Japan, this is a seamless add-on to your setup.

Is there an extra charge when you take action on my mail?

Yes. The monthly plan covers your address, mail scanning, review, and explanation. When action is needed — tax filings, social insurance, labor registrations — we charge market rates for the work. For non-government correspondence, fees are discussed and agreed before we proceed.

What types of documents can you advise on?

We handle all standard business setup and ongoing maintenance documents — tax, social insurance, labor, and routine government correspondence. For unusual or unique mail outside normal compliance, we explain what the document is and refer you to the appropriate professional.

Will Japanese banks accept this address for a corporate account?

Virtual office addresses are generally not accepted by Japanese corporate banks. If banking access is a priority, our premium nominee director service places a Japanese resident as your registered representative director, which can unlock corporate account eligibility. Book a consultation to discuss your situation.

What happens if urgent government mail arrives?

We flag it to you immediately. You respond to us promptly, and we execute on your behalf as fast as possible. We cannot guarantee outcomes given the variability of urgent situations, but we will always move as quickly as we can once instructed.

What are the phone reception hours?

Phone reception on the ¥45,000 plan operates 9 AM to 5 PM Japan Standard Time, Monday through Friday. Messages left outside these hours will be relayed to you the following business day.

Do you offer any discounts?

We do not offer discounts on this service. If budget is the priority and you do not need compliance action support, we are happy to refer you to mail-forwarding services that provide address and scanning for around ¥10,000 per month — just be aware that acting on your mail will remain your responsibility.
